Inserting Data from a Picture in Excel (Windows)

If you have data from a physical source that you’d like to add to Excel, you can simply take a photo of it, save it to your computer, and then upload the data into your spreadsheet. This feature, which was originally available for Mac and mobile devices, is now also accessible in Excel 365 for Windows. It’s perfect for importing data from tables, receipts, or financial documents that you want to analyze and manipulate in Excel. Instead of manually entering the data, let’s explore how to load it from a picture.

To load data from a picture, follow these steps:

  1. Open the sheet in Excel where you want to insert the data.
  2. Go to the Data tab in the ribbon.
  3. Click the From Picture drop-down menu.
  4. If the image is saved to your device, select Picture From File. If the image is already copied to your clipboard, choose Picture From Clipboard.

Once you select your image, Excel will analyze the data and convert it into editable content.

To load and edit data from a picture in Excel, follow these steps:

  1. Insert the Image:
    • If you selected Picture From File, locate and select the image on your device, then click Insert.
    • If you selected Picture From Clipboard, Excel will start loading the data automatically, and a sidebar will appear on the right.
  2. Review and Edit Data:
    • The data extracted from the image will appear in a table beneath the image in the sidebar. Any fields that require editing will be highlighted in pink.
    • Click on a field to edit it. The corresponding area in the image will also be highlighted.
    • Make the necessary changes and click Accept to confirm the edit. Alternatively, you can click Review to move through each field one-by-one and edit them.
  3. Insert the Data into Your Spreadsheet:
    • Once you’ve reviewed and edited all fields, click Insert Data in the sidebar.
    • A prompt may appear, confirming that you are responsible for the accuracy of the data. Click Insert Data to proceed.
    • The data will now be placed in your spreadsheet, and the sidebar will close.

Now, you can further manipulate and make additional changes to the data as needed in your worksheet. This feature can save you time by converting physical data into usable information in Excel without manually typing it out.
