Creating and Updating a Table of Figures in Word

A Table of Figures serves as a navigation aid for locating figures, images, or tables in your document by listing their captions and page numbers. It functions similarly to a Table of Contents, but it focuses on captioned elements. Below is a guide to inserting and updating a Table of Figures.

Step 1: Add Captions to Figures

Before creating a Table of Figures, ensure that all relevant elements (figures, images, or tables) in your document have captions.

  1. Right-click the image, figure, or table you want to caption.
  2. Select Insert Caption from the context menu.
  3. In the Caption dialogue box, type the desired text and choose the appropriate label (e.g., Figure, Table, or Equation).
  4. Click OK to save the caption.

Step 2: Insert a Table of Figures

  1. Place your cursor at the location where you want the Table of Figures to appear.
  2. Navigate to the References tab on the ribbon.
  3. Click Insert Table of Figures.
  4. In the Table of Figures dialogue box:
    • Preview your table in the Print Preview and Web Preview panes.
    • Customize options such as the caption label (e.g., “Figure”) and formatting styles.
    • Choose a tab leader (dots, dashes, or none) for alignment.
  5. Click OK to insert the table.

Step 3: Update the Table of Figures

As your document evolves, figures and tables may shift, making it necessary to update the table.

  1. Click on the Table of Figures to select it.
  2. Navigate to the References tab and click Update Table, or press F9.
  3. In the Update Table of Figures dialogue box:
    • Select Update page numbers only to refresh page references.
    • Select Update entire table to include new captions or changes in the text.
  4. Click OK to apply the updates.

Customizing the Table of Figures

  • Caption Labels: You can specify different labels (e.g., “Table” or “Equation”) to generate multiple tables for different types of content.
  • Formatting: Modify the table’s appearance through the Modify button in the Table of Figures dialogue box.
  • Styles: Adjust font, size, or alignment by editing the style associated with the table (e.g., “Table of Figures”).
