Printing in Word to Leave Room for a Hole Punch
When you’re preparing a document for a binder and need to leave space for hole punches, adjusting the margins in Microsoft Word ensures that no text gets cut off. Here’s how to make room for a hole punch:
Step 1: Measure Your Hole Punch
- Consider the hole punch size: Most hole punches cut about 0.5 inches from the edge of the paper. If you’re using pre-punched paper, check the spacing to ensure the margins are adjusted accordingly. For extra safety, consider increasing the margin to 0.75 inches.
Step 2: Open the Layout Tab
- Go to the Layout tab on the Word ribbon.
- Click the Margins button.
Step 3: Set Custom Margins
- From the drop-down menu, select Custom Margins.
- In the Page Setup window, adjust the margin on the side where the holes will be punched:
- Top margin if punching at the top of the page.
- Left margin if punching on the left side of the page.
- For example, if you’re punching holes at the top, add 0.75 inches to the default 1.0-inch top margin.
Step 4: Adjust for Double-Sided Documents (Optional)
- If you’re printing double-sided and want to accommodate the hole punches in a binder, use the Gutter margin:
- In the Page Setup window, set a Gutter margin to adjust the space for hole punches on the inside edge of the page.
- This will add extra space to the left margin on odd-numbered pages and the right margin on even-numbered pages.
Step 5: Save Your Changes
- Once you’ve set your margins, click OK. Your document is now ready for hole punching without cutting off any text.
By adjusting the margins in advance, you ensure that your document fits perfectly into a binder, even with hole punches along the edge.
