Making Word Documents Fillable but Not Editable
If you frequently work with contracts or forms, ensuring that essential content stays unaltered while allowing recipients to complete specific fields is crucial. Microsoft Word provides tools in the Developer tab to make documents fillable and protect them from unauthorized edits. Here’s a step-by-step guide:
Step 1: Enable the Developer Tab
- Open Word, click File, and then Options.
- In the Word Options window, select Customize Ribbon from the left-hand menu.
- Check the box for Developer under the Main Tabs section on the right and click OK.
- The Developer tab will now appear in the ribbon.
Step 2: Add Fillable Fields
- Open the document you want to make fillable.
- Navigate to the Developer tab and find the Controls group.
- Options include:
- Rich Text Content Control (for free-form text)
- Plain Text Content Control (for plain text only)
- Date Picker Content Control (for selecting dates)
- Checkbox Content Control (for checkboxes)
- Drop-Down List Content Control (for predefined choices)
- Options include:
- Place your cursor where you want to add a fillable field:
- For a date field, click Date Picker Content Control.
- For a text field, click Rich Text Content Control or Plain Text Content Control.
- Repeat this for each field you want to make fillable.
Step 3: Restrict Editing
- Select all the text in the document by pressing Ctrl+A.
- In the Developer tab, click Restrict Editing under the Protect group.
- In the Restrict Editing pane on the right:
- Check Allow only this type of editing in the document.
- From the drop-down menu, choose Filling in forms.
- Click Yes, Start Enforcing Protection.
- (Optional) Set a password for added protection, then click OK.
Step 4: Save and Distribute
- Save the document as a Word template or regular document, depending on your needs.
- Share the protected document. Recipients will be able to fill in the blanks but won’t be able to edit the rest of the content.
