Creating and Updating a Table of Figures in Microsoft Word

Word 2021 - GGKEYS

A table of figures is a list of captions from figures, images, or tables in your document, organized by page number. It functions like a table of contents but specifically for captioned elements.

Inserting a Table of Figures

A table of figures helps readers quickly locate specific content, especially in longer documents with many visual elements. To insert one:

  1. Ensure all figures, images, and tables have captions added (different from alternative text).
  2. Place your cursor where you want the table.
  3. Go to the References tab and select Insert Table of Figures.
  4. In the dialog box, customize the format and options, then click OK.

The table of figures will appear in your document, formatted as specified.

Updating a Table of Figures

If you edit the document, captioned items may shift. Update the table to reflect these changes:

  1. Select the table of figures.
  2. Go to References > Update Table or press F9.
  3. In the dialog box, choose to update either the entire table or just page numbers.
  4. Click OK to apply the changes.

Your table of figures will now display the latest information.
