Converting a PowerPoint to Word and Making It Editable

If you want to create presentation handouts in Microsoft Word from your PowerPoint slides, here’s a step-by-step guide to easily convert your PowerPoint content and customize it in Word for better formatting.

Steps to Export PowerPoint Slides to Word

  1. Open PowerPoint: Open the PowerPoint presentation you want to export as handouts.
  2. Go to the “File” Tab: In the top-left corner of PowerPoint, click on the File tab to open the backstage menu.
  3. Select “Export”: From the sidebar, choose Export.
  4. Choose “Create Handouts”: Under the Export menu, click Create Handouts.
  5. Read the Options: You’ll see a brief description of the handout options:
    • Put slides and notes in a Word document.
    • Edit and format content in Word.
    • Automatically update slides in the handout when the PowerPoint changes.
  6. Click “Create Handouts”: After reviewing the options, click the Create Handouts button.

Choose Layout for Handouts in Word

  1. Send to Microsoft Word Window: This window offers various layout options for how the slides will appear in Word.
  2. Select Layout: Choose the page layout that suits your needs:
    • Blank lines below slides (great for adding notes).
    • Notes next to slides (if you want to have notes directly beside each slide).
    • You can also choose other formats, depending on how you want the slides and text to appear in Word.
  3. Choose “Paste Link” (Optional): If you want the slides in Word to update automatically when the PowerPoint presentation is modified, select the Paste Link option. This keeps your Word document synced with any changes made to the PowerPoint presentation.
  4. Click “OK”: Once you’ve made your selection, click OK.

Editing in Word

  • After the slides are transferred to Word, a new document will open with your slides and any selected content (e.g., notes, titles).
  • Edit Content: You can now edit the text, add more notes, format the layout, or include additional elements using Word’s formatting features.
  • Double-Click Slides: To modify the content of any slides (if you didn’t select “Paste Link”), simply double-click on a slide image to open it in PowerPoint and make changes.
