Adding and Customizing Data Labels in Excel Charts

Data labels in Excel charts help make your data more readable by displaying specific values, percentages, or categories directly on the chart itself. Here’s a step-by-step guide to adding and customizing data labels in Excel.

Add Data Labels to a Chart

  1. Select the Chart:
    • Click on the chart you want to add data labels to.
  2. Open the Add Chart Element Menu:
    • Go to the Chart Design tab on the ribbon.
    • In the Chart Layouts section, click Add Chart Element.
  3. Choose Data Labels:
    • Hover over Data Labels in the dropdown menu.
    • Select the position for your labels from the options provided (e.g., Center, Inside End, Outside End, Best Fit, or Data Callout). The available options may vary depending on the chart type.

Alternatively, in Excel for Windows, you can also click the Chart Elements button (+) at the top right of the chart and check Data Labels. Use the arrow next to it to choose the position.

Adjust Data Label Details

Once you’ve added the data labels, you may want to adjust the information they display (e.g., values, percentages, or category names).

  1. Open the Format Data Labels Sidebar:
    • Select the chart and go back to the Add Chart Element dropdown.
    • Hover over Data Labels and select More Data Label Options.
  2. Customize the Label Content:
    • The Format Data Labels sidebar will appear. Make sure you’re on the Label Options tab.
    • Expand the Label Options section.
    • Here, you can check boxes to include:
      • Category Name (name of each data point)
      • Value (numerical value)
      • Percentage (percentage of the total)
      • Specific Cell Values (if you want to include data from certain cells).
  3. Additional Options:
    • You can also add Leader Lines (lines that connect data points to their labels), include the Legend Key, and select a Separator (e.g., space, comma) to separate label elements.

Customize the Appearance of Data Labels

You can further style your data labels to make them more visually appealing.

  1. Format Fill & Line:
    • In the Format Data Labels sidebar, go to the Fill & Line tab.
    • You can add a fill color to your labels, adjust the transparency, or apply a border.
  2. Add Effects:
    • The Effects tab allows you to apply a shadow, glow, or 3-D effect to your data labels, depending on the label type.
  3. Adjust Size & Properties:
    • In the Size & Properties section, you can:
      • Change the width and height of the labels.
      • Adjust vertical alignment or text direction.
      • Enable text wrapping if your labels are long.

Remove Data Labels

If you later decide you no longer want data labels on your chart:

  1. Go to the Chart Design tab.
  2. Click Add Chart Element and select Data Labels.
  3. Choose None to remove the labels from your chart.
