How to Create and Update a Table of Figures in Word

A table of figures is a list of captions from figures, images, or tables in your document, organized by page number. It functions similarly to a table of contents but specifically includes anything with a caption.

Inserting a Table of Figures

A table of figures helps readers quickly navigate to specific sections in your document, making it especially useful for longer documents with multiple media elements. However, you can only insert a table of figures if you have added captions to your images, tables, and figures (not to be confused with alternative text). Assuming you’ve already captioned your content, here’s how to add the table.

  1. Place your cursor where you want to insert the table of figures.
  2. Go to the References tab and select Insert Table of Figures.
  3. In the Table of Figures window, preview your table’s appearance. You can also adjust the settings and format it as needed.
  4. Once satisfied, click OK. Your table of figures will be inserted into the document.

Updating a Table of Figures

As you add, remove, or rearrange content, your captioned objects might change location. To keep the table of figures accurate, updating it is straightforward.

  1. Click anywhere within the table of figures to select it.
  2. Go to the References tab and click Update Table, or press F9.
  3. In the Update Table of Figures window, choose whether to update the entire table or just the page numbers.
  4. Click OK to apply the changes. The table will now reflect the latest content in your document.
